About the role

The Administrative Assistant plays a vital role in ensuring the smooth and efficient operation of Sbeko Security’s head office. This position supports multiple departments, including Human Resources, Operations, and Sales, by managing documentation, handling internal communication, maintaining office records, and coordinating daily administrative tasks. The ideal candidate is organized, proactive, and able to work both independently and collaboratively in a high-paced environment. This role is perfect for someone looking to build a solid foundation in office administration within the security services industry.

Key Responsibilities

  • Provide general administrative support to the Operations, HR, and Sales departments
  • Answer incoming calls, direct queries, and respond to emails professionally
  • Prepare and maintain physical and digital filing systems for staff and operational documents
  • Capture and update data such as attendance registers, staff rosters, and client information
  • Assist with scheduling interviews, onboarding processes, and employee documentation
  • Manage office supplies inventory and place orders when necessary
  • Draft and format reports, internal memos, and correspondence
  • Coordinate meetings, take minutes, and distribute relevant documentation
  • Maintain confidentiality and handle sensitive information with discretion
  • Support daily office activities to ensure smooth workflow and professional front-office presentation

Minimum Requirements

  • Grade 12 / Matric certificate (essential)
  • 1–2 years proven experience in an administrative or office support role
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint)
  • Strong written and verbal communication skills
  • Good organizational and time management abilities
  • High level of accuracy and attention to detail
  • Ability to handle confidential information with professionalism
  • Fluent in English (additional South African languages are an advantage)
  • Knowledge of basic office procedures and systems
  • Familiarity with the security services environment (advantageous but not essential)
